Daily reports are one of those tasks that feel small per child and turn out to be huge per year. Six minutes per child does not sound like much until you multiply it by thirty-four children in attendance and two hundred and fifty operating days. Directors rarely see that total because the time is spread across every room and every afternoon, which makes it hard to justify changing the routine or to argue for a better one.

This calculator multiplies your enrolled children by your average attendance rate to get reports per day, then multiplies by minutes per report and operating days to get hours per year. It prices those hours at the loaded hourly cost you enter. The savings line is simply the same math run again with your target minutes per report. It does not assume any particular tool or method, and it will show a negative saving if your target is slower than today.

What the math assumes

Reports per day equal enrolled children multiplied by the attendance rate you enter; absent children get no report.
Every report takes the same number of minutes; the estimate does not model infant rooms taking longer than preschool rooms unless you enter an average that reflects that mix.
The hourly cost you enter is applied to every minute of report time; it does not add overhead, training or software costs.
Savings equal today's hours minus target hours at the same hourly cost; the calculator makes no claim about how you reach the target.
All defaults are placeholders to show how the math works, not industry benchmarks. Replace them with your own numbers.

Frequently asked questions

Should I include the time spent talking to parents at pickup?

Only if that conversation is where the report actually gets written or explained. If the report is finished before pickup, count only the writing time here and treat pickup conversations separately.

What hourly cost should I use for staff?

Use the loaded cost, meaning base wage plus employer payroll taxes and any benefits, averaged across the staff who write reports. If you only know base wages, enter that and treat the result as a floor.

Why does the calculator show hours instead of just dollars?

Hours are the number most directors can act on. Freed hours usually become floor coverage, cleaning or planning time rather than payroll savings, and that is still worth knowing.

Can I use this for a home daycare with one provider?

Yes. Enter your own children count, your attendance rate and the hourly value you place on your time. The math is the same at any size.
