Ratio math looks simple until a room sits at eleven children with a 1:4 ratio and a group size cap. Directors run this in their heads every morning, when a child enrolls, when a teacher calls in sick, and when a tour asks whether there is a spot in the toddler room. Getting it slightly wrong risks a licensing citation on one side and an unnecessary hire on the other.

This calculator splits your children into the fewest groups allowed by your maximum group size, then applies your children-per-staff ratio to each group and rounds up, because a fraction of a staff member is not allowed on the floor. It reports the staff required, how many more children the current staff and groups could legally take, and the monthly staffing cost of the room using the hours, days and hourly cost you enter. Ratio and group size are inputs on purpose: rules vary by state and by age group, so enter yours.

What the math assumes

Children are split into the fewest groups allowed by your maximum group size, as evenly as possible, and each group is staffed separately by rounding children divided by ratio up to a whole person.
Every required staff position is covered for the full hours per day you enter; the cost does not add extra staff for breaks, lunches, opening or closing overlap.
Open seats equal the legal capacity of the current staff and group count minus current children; adding one more child beyond that number triggers another staff member or another group.
The ratio and group size defaults are placeholders, not a statement of any state's rules. Check your licensing regulations for each age group and enter those values.
Cost per child divides the monthly staffing cost by children in the room and ignores tuition, rent, supplies and administrative staff.

Frequently asked questions

Why does adding one child sometimes add a whole staff member?

Because licensing rounds up. With a 1:4 ratio, eight children need two staff and nine children need three. The open seats line tells you how close you are to that step.

Does the calculator account for staff breaks and floaters?

No. It counts the minimum staff required on the floor for the hours you enter. Most centers add a floater or split shifts to cover breaks, so treat this as a floor rather than a full schedule.

Can I use it for mixed-age rooms?

Enter the ratio that applies to the youngest child in the group, since most states require the stricter ratio in a mixed-age setting. Confirm that rule with your licensing office.

What if my state counts a director or cook toward ratio?

Some states allow it during specific hours. If yours does, you can reduce the hourly cost input to reflect that only part of the required staff is dedicated classroom payroll.
